6 Steps On How To Complete Your To Do List
Step 1: Figure Out Why You Struggle To Complete Your Tasks
Identifying why you struggle to complete your to-do list is so important because it’s the first step toward making real changes. Once you understand what’s holding you back, it becomes easier to create a system that helps you stay on top of your weekly and daily tasks—whether it’s managing household chores or working on a big project.
Here are some common reasons why people struggle with completing their to-do lists:
Overloading the List:
Trying to pack too much into your daily or weekly to-do list often leads to burnout. It might work once or twice, but eventually, you’ll feel overwhelmed and struggle to stay consistent.
Lack of Prioritization:
When you don’t identify the most important tasks or organize them by priority, it’s easy to procrastinate—especially on the big tasks that matter most.
No Time Estimation:
Underestimating how long tasks will take is another common mistake. For example, if you only have 4 hours to work on tasks and one of those tasks takes 3 hours, you’ll end up leaving other tasks incomplete. This creates a constant cycle of unfinished to-do lists.
No System or Structure:
Writing a random list without a clear plan or strategy makes it harder to stay focused and organized, leaving you feeling scattered and unproductive.
Step 2: Brain Dump Everything First
I don’t know about you, but my mind is always racing with everything I need to do—so much so that it leaves me feeling overwhelmed. If this sounds like you, the first step to completing your to-do list is to brain dump everything that’s on your mind, especially when you’re juggling a lot.
When doing this, don’t worry about the order or importance. Just write down everything you need to get done for the week. This simple step helps clear your mind and ensures you don’t forget anything, preventing that overwhelming feeling that makes it hard to stay on track.
Step 3: Prioritise Your Tasks
Trying to complete everything in one day isn’t impossible, but it’s a fast track to burnout—and that often leads to not getting things done for the rest of the week.
One system that has helped me (and is proven to work) is prioritizing 3 key tasks each day. Most of us tend to create a list of 5-7 tasks, but selecting the 3 most important tasks and time-blocking them makes a huge difference.
Personally, I always have around 5 tasks on my list, but I make sure to identify the top 3—ranking them by importance. Task 1 is the highest priority, followed by task 2 and 3, which are still important but not as urgent. This way, even if I don’t finish everything, I know I’ve completed the most critical tasks and stayed productive.

Step 4: Break Down Big Tasks Into Smaller Steps
When a task feels too big, it’s easy to put it off. That’s why breaking it down into smaller, manageable steps makes it easier to stay on track.
For example, if ‘organize your home’ is on your list, break it down into tasks like ‘declutter the kitchen,’ ‘sort through clothes,’ or ‘organize paperwork.’ Smaller tasks feel less overwhelming and give you a sense of progress, keeping you motivated to keep going.
Step 5: Time Block Your Tasks
Once you’ve identified your 3 most important tasks, the next step is to time block them or set a deadline. Time blocking has been a complete game-changer for me—it’s like setting an appointment with yourself.
Think about it—when you have an appointment, you wouldn’t miss it unless something urgent came up, right? It’s the same with your to-do list. By time blocking your tasks, you create a clear plan for when and how long each task will take, giving yourself the structure and direction needed to actually get things done.

Step 6: Limit Distractions To Stay Focused
A big reason many people don’t complete their to-do list is due to distractions and taking on tasks that aren’t even theirs. When your week is packed, it’s crucial to set boundaries—say no to unnecessary tasks and turn off those notifications! Honestly, one of the best things you can do is put your phone in another room to avoid temptation.
Another proven technique that boosts productivity and helps you stay focused is the Pomodoro Technique. Here’s how it works: set a timer for 25 minutes, focus on a task for that time, then take a 5-minute break. Repeat the cycle 4 times, and you’ll be amazed at how much you can get done.
I’ve even completed a task, like work assignments, in just 2 Pomodoros—so trust me, it’s a game-changer! This technique can be used for anything, from household chores to big projects, helping you stay productive when you need it most.
